Quotes and invoicing
Quote, invoice and credit note: choose the right document
Distinguish between commercial proposal, sale and return to maintain consistent monitoring.
Prepare a quote
The quote presents the products or services, their quantities and their prices before the sale. Verify the client and the proposed conditions before communicating the document to them.
Go to invoice
When selling, check the lines actually retained and the amounts agreed. Record the payment received separately: an accepted proposal does not mean the invoice is paid.
- Sold 5
- Returned 2
- Kept 3
Process a return
Find the sale in question and use the return route. Control returned quantities and associated payment rather than creating a new negative sale unrelated to the initial document.
What is the difference between a quote and an invoice?
The quote describes a commercial proposal; the invoice describes the sale made. Before invoicing, check the quantities and services actually retained. A quote for ten items may result in an invoice for eight items if the final order has changed.
How to follow a partial return?
Find the original sale, then check only the items and quantities returned in the return journey. Then check the customer's balance and possible reimbursement. The return of one item in three does not correspond to the cancellation of the entire sale.
