Purchasing

Record a supplier purchase

Record purchased goods, costs, supplier references and payments.

Supplier and document

Choose the supplier then check the date, establishment and reference of the document. Use the proof to prepare the entry and check the recognized information.

Items and costs

Add the items, their quantities and their cost. Check discounts, taxes and fees before reading the purchase total. Also check the receipt status, which describes a different stage of payment.

Example
  1. Purchase A-12
  2. Delivery 12 × SKU-05
  3. Stock receipt +12

Payment and final check

Add the payment actually made and read the balance again. If there is a reference or supporting document already present, consult the existing document before registering a second purchase.

Does a paid purchase mean the goods have been received?

Payment records the amount paid to the supplier; receipt records the arrival of the goods. Check these separately. If a purchase is paid before delivery, its receipt status must still reflect the actual delivery situation.

How to avoid a duplicate supplier invoice?

Before entering, find the supplier, reference and date of the document. Also compare the amount and the supporting documentation. If a transaction already exists, check its details and payments before creating a new purchase from the same file.
